Job Overview
We are looking for a secretary to provide administrative support to a small number of directors and senior managers within a bustling secretarial team. It is important that you should be commercially driven. Each day presents its own challenges and we encourage you to show your ingenuity. You must have a clear focus on self-development as well as the desire to coach, mentor and develop your colleagues.
To be a top-secretary you must be able to deliver creative and innovative solutions.
Your main responsibilities:
· Assisting with projects (e.g. events, mailings, research)
· Carry out any other duties to meet with the needs of the business
· Provide support for senior staff
· May be required to occasionally cover the reception
Skills/Qualifications
· University degree.
· Previous secretarial experience is a must.
· Additional certification in Office Management is an advantage.
· Proficiency in Microsoft Office.
· Highly organised.
· Skilled at time-management and efficiency.
· Excellent multi-tasking ability.
· Copy and Audio Typing experience.
· Ability to prioritise workload.
· Attention to detail.
· Ability to work independently with minimal supervision.
· Team player with a “can-do” attitude.
· Excellent written and verbal communication skills
· Skilled at stress-management and ability to work under pressure and/or tight deadlines.
Responsibilities:
· Preparing presentations and business documents in PowerPoint, MS Word, and Excel.
· Issuing coordinated communications to Teams on behalf of the Directors and Senior Managers.
· Maintaining diaries, including organising meetings and meeting rooms.
· Organising travel, as necessary.
· Typing of invoices and maintaining invoice registers.
· Accurate and well-presented typing, expert knowledge of formatting, dealing with combining disparate documents in varying formats and producing seamless professional end document results.
· Typing of reports, Minutes, and letters as necessary.
· Assisting with time recording, expenses and suchlike admin. Duties.
· Monitoring emails as directed.
· Provide cover when other secretaries are out of the office.
· Other ad hoc duties as required.
· Willingness to occasionally work altered/additional hours when our teams are subject to deadlines and tight timescales; time off in lieu or other compensatory measures will be offered if/when such arises.
